Scheduling Policy

This section provides policy regarding space allocations, space usage, criteria, and priorities for the evaluation of space needs and procedures f or space requests. The scheduling of academic classes has priority on the use of space. The utilization of space is first determined by the instructional needs of the semester course schedule as established by the Office of the Provost. The schedule of athletic events is established by the Office of Athletics. Once the university schedule is established, additional requests for general use of space for meetings, seminars, conferences, workshops, and other special events are processed through the Office of Space Reservations and Special Events.

The policy establishes regulations for the periodic, temporary, and contractual use of university facilities by student organizations, university departments and external organizations. It promotes compliance with other university policies and District and Federal laws, regulates the time, place and manner of the use and describes the consequences for violation of the policy.

Submit a completed Space Use Agreement to UDCEvents@udc.edu.

The application will be reviewed and the requestor will be contacted to verify the de tails. A status on the availability of the requested date will be provided. If the date is available the event will be reserved in a “hold” status, and a sit e visit will be scheduled to tour the facility and discuss event logistics. If the requestor is familiar with the location, the site visit may be waived. After the walk through an estimate will be generated. The estimate is comprised of two elements; the base rental f or the location, and the production costs which will reflect all technical and labor needs required to execute the program. If the estimate is approved, a contract will be generated for the client’s review and signature. Once the signed contract and the required deposit are received, your space request will be elevated from a “hold” status to a “confirmed” status.
